Waiting list
Whenever a placement is allocated, the personal data are transferred to child registry. If no placement is allocated, the data is kept for future use, but no longer than two years.
Child registry
When a placement is made, the data is transferred from the waiting list to the child registry. Financial administration will use the data as necessary to handle payments. Childcare staff will receive the data they need to provide the necessary care. The manager will receive data through group management whenever the child becomes the subject of a discussion. The registration is removed from the current system after the last contact with the registered child (termination of care). The data can then be archived. Once the seven-year retention period has elapsed, the data subject's personal data will be destroyed from the archive within one year. Health data are stored for fifteen years.
Registration of members of central and local parent committees
Data are used to facilitate parental engagement.
Financial/administrative records (including employees)
Data are removed from the current system after the last contact with the registered child (after termination of care). The data can then be archived. Once the seven-year retention period has elapsed, the data subject's personal data will be destroyed from the archive within one year.
Interactive video counselling
Short video recordings are made of educational situations, which are watched back by employees and/or parents. Recordings are also made of the group situations and watched back. Recordings are used to train childcare staff in the correct approach based on the selected and recognized VIB quality program. Parents give prior written permission to record these videos. The recordings will be destroyed immediately after completing the professional training process or once contact with the parent has ended.
Other visual materials
Images are recorded and made available to parents through the website of the childcare location for communications with parents about the day-to-day activities. Parents are asked to give their consent to the use of images for these communications about the day-to-day activities. These materials will be destroyed after one year. Materials are sometimes recorded by a professional for corporate communications with existing and future customers. Prior written consent will be requested from parents/carers for this. Images for corporate communications are retained for five years.
Recording complaints
Complaints are retained for as long as the data are needed for the purpose for which they were collected or used. Once the retention period has elapsed, the data subject’s personal data will be destroyed from the archive within one year.
Archiving
Data are archived to fulfil a legal retention requirement. The records are destroyed seven years after the last contact with the registered child.
